How to choose eCoC software for vehicle manufacturers

Electronic Certificate of Conformity software should help a manufacturer turn controlled vehicle and approval information into a reviewable certificate record. The useful comparison is what happens to one vehicle from preparation through correction and release. A long feature list gives less evidence than a demonstration using the same sample record in each candidate system.

Start with the certificate you actually need

Write a short scope sheet before the demonstration: vehicle family, manufacturing stage, approval context, destination and monthly volume. Name the people preparing, reviewing and releasing the record. Separate vehicle-manufacturer software from services selling replacement CoCs to individual vehicle owners; they serve different buying needs.

Ask each vendor to complete the same five tasks

  • Create a record from an existing vehicle template and show which values are inherited and which belong to the individual vehicle.
  • Introduce one missing value and one conflicting approval reference. Show the error, its owner and how it is corrected.
  • Generate an XML candidate and identify the schema version and validation evidence associated with that candidate.
  • Explain the signing or sealing provider, legal-entity responsibility and exact file passed between the systems.
  • Change an approved source value and demonstrate how the earlier candidate and any subsequent submission remain traceable.

Score evidence, not presentation quality

For every task, record one of four outcomes: demonstrated in the evaluated configuration, available with a named dependency, requires development, or not shown. Keep that score beside the sample input, observed output and follow-up owner. Do not collapse these outcomes into a single green tick. A screenshot of a status label is weaker evidence than the corresponding file and response.

Include the work outside the software licence

Ask for a written breakdown of data mapping, onboarding, trust-service charges, destination access, support, training and future changes. State whether your team or the supplier owns each item. Ask how you export your records and evidence if you change systems. A sensible first pilot has a bounded vehicle family and a clear acceptance record before larger volumes move into the process.
